How Invunion works

Invunion brings bank transactions and customer invoices together through open banking or file import. It compares amounts, dates, references, and customer details, records strong matches, keeps unclear cases available for review, and confirms supported payment and refund outcomes. This article describes each stage of the process.

1. Bank transactions

Bank transactions enter Invunion through an open banking connection or a file import. An open banking connection can initially retrieve up to 90 days of available transaction history. It can then be synchronized to retrieve newer transactions.

2. Issued invoices

Issued invoices are imported into Invunion. They provide the records against which incoming customer payments are compared.

Invunion supports CSV, JSON, and standard electronic invoice XML files.

If your file format is not supported, contact us. We can review whether it can be added.

3. Matching

Invunion compares each payment with your open invoices. It looks at details such as:

  • the amount and currency;
  • the payment and invoice dates;
  • the invoice number or payment reference; and
  • the customer name or bank details.

Invunion gives each possible match a confidence score:

  • 80 or more: the match is considered strong and is confirmed automatically.
  • 50 to 79: the match needs someone on your team to review it.
  • Below 50: Invunion does not suggest the match.

The score is a guide, not a guarantee. A high score can still be wrong, and a payment with a low score may still belong to an invoice.

4. Review

Matches with a score from 50 to 79 remain available for review. The reviewer can compare the amount, currency, dates, reference, and customer.

For example, two customers may pay the same amount on the same day. A payment reference or customer name may be needed to identify the correct invoice.

If the information is not clear enough, the payment can remain unmatched and be reviewed again later.

5. Confirmation

Confirmation records the link between a payment and an invoice in Invunion.

Invunion currently supports:

  • money received from a customer for an invoice; and
  • money returned to a customer for a credit note.

It does not currently cover supplier bills, general business expenses, or every situation where one payment covers several invoices.

Invunion helps with matching and review. Your organisation remains responsible for its accounting records and approval process.
